Communicate with customer automatically by SMS Send a range of customers a preset SMS message personally addressed with individual name by simply pressing a key. For example, you have a special sale on the weekend, send an SMS from the Communications Console letting 1000's of your customers know. If you do not have the customer mobile number it can revert to an email automatically. Or, when an order is ready send an SMS from the Communications Console letting the customer know.
Output reports in PDF and other formats Reports can be output in PDF and various other formats and sent by email.
Email invoices in PDF format automatically
Individual debtors can be setup to receive email invoices automatically, (this can be changed at time of processing invoices). You can also add your own logo to the invoice. Statements can also be sent by email. This way of sending invoicing not only saves printing cost but postage and time putting in envelopes and posting.
Dynamic Queries A query can be easily written to report on any database e.g. show me all parts sold this month with a value of less than $1.
Dynamic Selection Lists
Selection Lists are used throughout the software e.g. a debtor transaction history, the difference from our old selection lists is that they can be in any order, ref no, ref date, post date, post time, amount, balance, type, order no or outstanding. This type of flexibility is available in all selection lists making it so much easier when searching.
Multiple companies and branch integration One feature is that a change can be made to a central database and reflected in all branches i.e. change of debtor name or a price update.
SQL Database for increased speed and flexibility AutoSoft databases are stored in an SQL database engine. Using an SQL database makes the software more robust and monitors its integrity at all times.
Export data for your accountant in various formats Data can be sent to your accountant in; Excel, PDF, Crystal Report, HTML, Word, Rich Text and Tab Separated Text.
Price matrixes available from enquiry screen Add a range of your most used discount/markup matrixes in the price enquiry view screen and all prices for those matrixes will be shown.
Parts backorder system Parts can be backordered from the parts invoice for your customers. Full reporting is included.
Stock Credit System
When a customer returns parts they can be matched with the original invoice. In the invoice, select credit and enter Part Number, previous sales are shown, add quantity returned, price is automatically added, process credit. Original invoice numbers will be automatically added in notes with dates so the client knows what the credit is for.
Preset databases for use in any comment field Press a key and copy into any comment field a preset comment, i.e. quickly drop a message in the parts invoice, "balance of order will be on the next delivery".
Dymo labeling system Autosoft has written a suite of programs in conjunction with the Dymo labeling printer. This allows labels to be printed for; address, parts, barcode, parts from a creditor invoice, and any ad hoc label you require.
Parts Invoice There are many features in our invoice processing that makes selling parts to a customer effortless. Discount and/or markup prices are setup in the customers file, bar codes allow you to scan a part into the invoice. Invoices, lay-bys and quotes can be saved and recalled at a later date. You can print a quote and change it to an invoice later. Pick slips and invoice previews can be printed. And a great stock control feature is our easy to use lost sales tracking.
Workshop Job Card/Invoice There are many features in our invoice/job card processing that makes creating them quite easy. The Invoice, job card and quotes can be saved and recalled at a later date. To save time typing, job codes (labour jobs) can be setup with notes and then used many times over. Jobs can be charged by a fixed price or by hours using various price types. Price types can be warranty, trade, fleet, retail and internal. You can print a quote and change it to an invoice later, previews can be printed. Parts and labour can be added to make up a kit. Discount and/or markup prices can be setup in the customers file. Bar codes allow you to scan a part into the invoice/job card.
Supplier parts pricing Autosoft makes your supplier parts price update process very simple. All you do is put your supplier's price update disk or CD in the drive, click on the supplier's price update program and your prices are automatically updated. You not only have your current stock prices updated you also have a complete pricing file of all of your supplier's prices.
Vehicle Groups Vehicle Group analysis showing dollar value of sales, cost, Qty and GP for each month, including YTD summary - all at the press of a key.
Vehicle Marketing Schedule A full marketing system is included in AutoSoft. Letters can be mail merged into Microsoft Word from templates already setup in Autosoft. There are a range of sales follow-up letters with our software. There are many types of letters that can be mail merged i.e. prospecting, promotion, debtor outstanding balances, general letters and faxes. Letters of any type can be set-up with bookmarks in Microsoft Word and merged with Autosoft's databases.
AutoSoftTurboand National Parts AutoSoft working with National Parts (NP) has incorporated into AutoSoftTurbo NP Stock Price & Availability and Dataseeker electronic catalogue. The parts price and availability is viewable from AutoSoft's price enquiry screen and the parts Dataseeker can be transferred directly into an AutoSoftTurbo invoice.
Electronic Data Interchange (EDI) Autosoft is also liaising with the Australian Automotive Aftermarket Association (AAAA) on the new Electronic Data Interchange (EDI). Member companies are developing guidelines for Part Numbering, Bar Coding, e-Messaging and development of a Product Information Standard. Once the guidelines are developed AutoSoft will be incorporating the EDI into AutoSoftTurbo. This project means cost savings at all levels of the supply chain in the automotive aftermarket industry.
